Under invoice number (NDP), fill out TXI NUMARFACTURA (space is required between TXI and NUMARFACTURA). The record will be highlighted in both VAT journals (purchases and sales).
Reverse charge on sales For a reverse charge sale, select the journal according to its sales destination (JVR for Romania or JVU for EU countries). Under invoice number (NDP) fill out TXI NUMARFACTURA (space is required between TXI and NUMARFACTURA).

In order to perform the reopening of a financial exercise, you need to make sure that your CIEL Accounting version is at least version 6.49.0. Observations To properly perform the reopening, you must correctly follow the steps below.
The reopening operation will create a single record with values in RON and foreign currency. For foreign currency accounts, the rate of the original document and the rate related to the last automatic or manual reevaluation will be displayed per lines. The remaining non-payable VAT will only be retrieved from purchases and sales journals, listed before reopening. The following items will not be retrieved: - lines with 0.01 RON differences from non-payables; - negative values from non-payables, for invoices with positive total values; - balanced invoices, which continue to appear in journals because the VAT note was not generated. Because of the VAT upon collection system being introduced, renumbering invoices from 1 is not performed anymore. Modifying the initial balance for VAT upon collection invoices has no effect.
Non-payable values retrieved from sales and purchases journals listed before reopening cannot be modified after reopening. The reopening procedure will detail the third party accounts, the reevaluated accounts roots and the ones with 'Mark' field checked in the chart of accounts. If the invoices were not correctly linked by mark number to collections/payments, these will be detailed in the reopening note. Collections and payments of the current exercise, related to invoices from the previous exercise, will be linked through marking to the reopening note lines and the VAT note will be generated. The export of the initial balance note from the Tools/Export menu will not retrieve non-payable VAT related to invoices. It is recommended this note is transferred through decentralized collection from the Processing menu.
The explanation in the initial balance note lines for third parties accounts will include document number/unbalanced invoice date. The explanation can also be viewed in the window used for choosing the invoice to be paid/collected, when selecting the mark number. The invoices included in the initial balance note can only be reversed from the Universal collection grid. The account sheet includes an option to display the detailed initial balance. We advise you to work in a distinct company for the new financial year, by following these steps: - save the company you worked in from the Tools/Save menu; - create a new company, by accessing Files/Companies and pressing the Create button; - in the new created company, access Tools/Restore and select the file you saved in (the.bak file containing the company code and the current date in its name). The steps for reopening are: a) Check if you generated the payable VAT related to VAT upon collection invoices, on time, for the interval you wish to close.
Therefore, in the Processing/Generate VAT notes, you have the possibility to check if by: - there is VAT to be collected at 90 days for invoices with balance; - there are paid invoices with non-deducted VAT; - there are uncollected invoices with non-deducted VAT. If you find any data in the list, generate the VAT. Observations a) If there are mismatches in VAT sales or purchases journals, when displaying invoices with VAT upon collection, use the 'Unblock VAT for deleted VAT upon collection notes' from the Tools-Resources/Information menu, then generate the VAT again. This option will correct links between documents with VAT upon collection. B)Perform month closings (from Processing/Opening-reopening/Month closing menu) and VAT closings (from Processing/ VAT closing menu) until. C)Validate the secondary documents of the period you wish to close, from the Processing/Secondary documents validation. For example, you wish to reopen from.
In the Processing/Validate secondary documents menu, create a filter so that the grid only displays the records with dates previous than. If you wish to save the filter for future use, name it and press the 'Save filter' button, then the 'Apply filter' button. Set the export parameters in the window: Fill out: the time interval, the export path, if you wish to create a cumulative accounting note for fiscal receipts, them press the Export button. After importing, go to CIEL Accounting, in the 'Tools'-ASCII import menu. Select the exported file from the CIEL V7 application and press the Import button. Once the import is finished, go to the Files-Records menu, where imported records can be viewed. In order to import from CIEL Commercial Management application and CIEL Accounting application to CIEL V7, you need to make sure that you have CIEL Commercial Management version 2.5.9 and CIEL Accounting 7.10.0 installed on your PC. These are the first application versions which are compatible for this import.
After making sure the above mentioned versions are installed, go to CIEL Commercial Management application and access the 'Tools' menu, 'Switch to V7' submenu. These steps must be followed if you want to perform the import from the CIEL Commercial Management application. You do not have to setup anything for importing from CIEL Accounting.
Before accessing the 'Calculate stocks' button, we can only modify the date for switching, not the unloading method. Calculus is finished once the 'Successful operation' message is displayed, then you need to press the 'OK' button. After following the steps above, go to CIEL V7 where a new company will be created, where the import will be made.
Go to 'Tools' -Import-Import Commercial Management/Accounting menu. When accessing this button, the below window will appear: where you will need to choose the import type from the four existing options.
Check the preferred option and press 'Next'. You need to select the SQL server where the CIEL Commercial Management and CIEL Accounting database exsists, as well as the server login method (see the example in the above image). The image is available for data import from common databases (commercial management-accounting, commercial management or accounting). For separate databases, the steps below need to be followed: If you will not use the same SQL server, uncheck 'Use the same SQL server'. Once you logged in to the SQL server, select the company where the import will be made from.
After selecting the company, you need to check some import options, as seen below: The start date for importing: if you check this option, you can fill select the date from which the import is performed. If you do not check this option, all existing documents in the database will be imported. In the window above, select the import options regarding the Commercial Management documents. After checking, you will be able to access the 'Import' button. After importing, error, warning and info messages can be read by accessing the Tools-Import-Import messages menu. After fixing the errors, warnings and informative messages, which will be done in the CIEL Commercial Management and CIEL Accounting applications, a new import in a newly created company will be performed. Reopening procedure in CIEL Accounting In order to reopen, you need to have 2012 closed by the 31st of December 2012 (VAT, income and expenses accounts must be closed, and you must not have any records to enter for 2012).
After closing December, go to Tools/Save to save the database, then, in the Files/Companies menu, create a new database for the company you wish to reopen. Select the newly created company and from the Tools/Resources menu, restore the previously saved database.
In the above selected company, go to Processing/Validate secondary documents, and after the records validation window appears, press the Filter button and the Selection criteria window will open. In the Selection criteria window, write 'Reopening' in the yellow header line and fill out the table: - on the first column named 'Field', in the first row, select Date; - on the second column named 'Condition', in the first row, select Lower or equal to; - on the third column named 'Value', in the first row, write.
Then press the Save Filter and Apply Filter buttons. You are now back in the Validate records window, where only the 2012 records are displayed, after filtering. Press the Grouped validation button and the Validate button. Close the window and go to Processing/Close-reopen/Year closing and select as the reopening date, then choose between the 2 options: Retrieve accounts balances - you can retrieve only the accounts balances, without any details, in the new year. An initial balance note is created for each currency in which you worked in the previous year, notes balancing is done through the 891 account. Only the reevaluated accounts will be retrieved in the accounting notes with initial balance in foreign currencies; Retrieve detailed third party balances - you can retrieve the detailed balances at document level for third parties, for the other accounts, only balances are retrieved. An initial balance note is created for each currency in which you worked in the previous year, notes balancing is done through the 891 account.
Only the reevaluated accounts will be retrieved in the accounting notes with initial balance in foreign currencies; Warning: Use one of the first two options if you automatically reevaluated in 2012 using the Processing-Reevaluation menu or if you manually reevaluated by following the steps in the Help menu. Standard balances retrieval procedure - retrieves all previous year turnovers. A single initial balance note will be created.
VAT closings or reevaluations will not be taken into account in this case; Standard turnovers retrieval procedure - retrieves balances for each account in the new year. A initial balance note will be created for each currency. For currencies, the initial balance will be created at 0 rate. Reevaluations will not be taken into account in this case.
Warning: The last two options can be used if in 2012 you did not automatically reevaluate or if you did not follow the steps in the Help menu for manual reevaluation. Then press Reopen, in the window press Save, then press Continue. After reopening, the reopening notes afferent to 2012 and the accounting notes entered for 2013 will remain in the current company.
Preliminary Configuration. If the company is subject to VAT upon collection, check this option in the Files/Company configuration menu, so that documents issued in the purchases journal will have this set by default. Registering the purchase invoice with VAT upon collection. For purchases invoices, check the 'VAT upon collection' option, which will suggest by default the afferent VAT options.
Warning! For a complete evidence of documents in journals and statements, choose VAT options. For records with VAT upon collection, choose the options with this specification. Registering a partial payment In order to make a payment, select the treasury account, the third party account and the invoice in the 'Mark number' field. To correctly display data in the commercial journals, it is necessary that for each collection/payment, to select the invoice in the 'Mark number' section. Before saving the accounting note, click on the box related to the partner account, then press the 'Generate VAT note' button. The window that will open by accessing the 'Generate VAT note' button displays information regarding the non-payable VAT afferent to the invoice. For partial payments, you can manually write the paid amount in one of the fields Total TTI, TotalFT or VAT value, by preference.
For saving the note afferent to the VAT, press the Temporary button, thus you can later modify the generated note, or press Validate without the possibility of later editing this note. In the case of a partial payment for an invoice including several VAT rates, you must specify the value afferent to the VAT on each of these. Example Purchase invoice Partial payment Registering sales invoices The entry mode of the sales invoice with VAT upon collection resembles the entry mode of the purchase invoice. Sales invoice Receipt VAT collection at 90 days In order to view and collect the VAT for uncollected invoices which have reached 90 days since the date of issue, use the Generate VAT note option, from the Processing menu. Notes for VAT collection can be generated based on certain criteria, using the Filter button, or they can be generated for all invoices using the 'Generate all VAT collection notes' button. The 'Generate VAT collection note' button creates the VAT collection note for the selected line. Commercial journals Journals were amended so that for each document the payable and non-payable values, the date, number and receipt/payment value will be distributed on the corresponding columns.
Warning! Documents whose VAT has not become payable will appear in commercial journals, regardless of the chosen listing period. In the below journal example, there are 2 purchase invoices with VAT upon collection: - Purchase 1 with: base 24%=100, VAT24%=24, base9%=100, VAT9%=9, invoice total=233. The invoice doesn't have any corresponding payment. Purchase 2 with: base 24%=100, VAT24%=24, base9%=100, VAT9%=9, invoice total=233. The invoice has a corresponding partial payment with number 'PAYMENT 2' and value 100 with the 24% rate for a total value of 50 and 9% rate for a total value of 50. The information displayed in the purchase journal is: For the second purchase invoice the values related to the base and VAT, extracted from the payment, were transferred in the corresponding columns. Also, 'Payment document' and 'Paid value' columns were automatically filled out.
For the sales journal with VAT, the information display mode is the same. Data collection/VAT upon collection notes If you wish to create the VAT upon collection note for an invoice, but not from the collection/payment grid, using the Generate VAT note button, you can access the Data collection - VAT upon collection notes menu. In this window, you can select the partner, invoice and collection, using the magnifying glass button and you can manually modify the value that will become payable in the document data grid. Go to CIEL Accounting - Listings - Fiscal statements - D394 form. Set the export path for D394 by pressing the 3 dotted button at the end of the export path box. You can choose any export path you want.
After selecting, press Validate. Recalculate for viewing the data, then press Export XML.
A success window will appear, asking you if you wish to open the PDF file, you must select Yes. A window stating the xml file was successfully generated will appear. Next, open the pdf file with your data. Go to the yellow bar to Options-Trust this document always and you will find the data in the form. If this window does not appear (you do not have the above Options bar), it means the file is already editable or you don't have a compatible Adobe version, you must install Adobe version 9. If the Adobe version is higher than 9 (ex.
10.1.2), you will not be able to edit the pdf file. If you cannot edit the open file and you have Adobe X(10), you must uninstall it from Add Remove Programs and then install version 9 from here:. If you encounter the 'Duplicate document number' message while collecting data and you wish to use the same document number for several documents, go to Files - Personal settings and uncheck the 'Unique document number' option.
Go to the Files - Company settings and uncheck the 'Unique document number' option. It is better to recheck this option after creating the document, because if you reevaluate, it is not indicated to have two invoices of the same supplier/client with the same number.
Supplier returns are entered in the Incoming - Supplier returns menu, and client returns are entered in the Outgoing - Client returns menu. There is the option to select the invoice from which a return is made, when entering the return. In this case, after you have selected the partner on the document, you must press the button, situated under the partner's bank. You must then select the lines you choose to return by checking them in the invoices list. In the quantity section you will fill out the returned quantity, if it is a partial return.
With this option, you can retrieve third party balances and articles stocks in the new financial exercise. The procedure consists of creating an 'old' database, where all data will be copied, in their existing form at the exercise closing date, mentioned in the window below with the name 'Date at which import is made'. After copying the data in the company mentioned in the window, the procedure continues with the following operations, under 'New information duplicate company':.
Erasing all existing commercial documents;. Retrieving all files - client, suppliers, stockrooms, VAT rates, articles, categories etc. Generating an initial stock document for each existing stockroom, with existing articles, stocks and prices at the mentioned date in the window displayed below. When using FIFO or LIFO, a document line will be generated, with the stock afferent to the acquisition price, for each article batch with a distinct price. Generating an invoice type document for each supplier and client in which the 'initial balance' article will appear; the reopening date will be set for the due date, and the value = the balance of the respective third party.
Keeping all documents created with the date of the new financial exercise. None of the resulting documents from the 'Reopening exercise' procedure have the equivalent accounting note, because by using the reopening procedure in the accounting application, the account balances will be inclusively taken over. If you want to view the statement in pdf format, click Yes. This will allow you to validate and sign the statement using the A soft from ANAF. If you wish to create the statement using the J soft, press 'No', then press the 'Validate+create PDF+sign' button. For updating the file in PDF format, necessary for submitting the D112, you must follow these steps: 1) Download the latest D112 version in PDF format. 2) Copy the downloaded file in the path were the application is installed. If you have the network version, you must copy this file on the server and the workstations. 3) Download the latest version of the DIST validation software.
4) Unarchive the validation software in the previous location of DIST, or if you don't have a previous version, we recommend to unarchive it directly in My Computer, in local disk C. These are the steps for obtaining the file in PDF format, necessary for submitting the D112: 1. The tax income value for each branch must be filled out according to the salary income tax, without including taxes from royalties contracts or temporary work contracts, according to the D112 structure. Entering a partial payment In order to make a payment, you must select the journal, the third party, the invoice in the 'Paid invoices' field, then modify the amount in the 'Total value' field, when needed. Before saving the accounting note, click the box related to the partner or the paid invoice, then press the 'Generate VAT note' button. The window that will open, will display information regarding non-payable VAT afferent to the invoice. For partial payments, you must manually write the written off value in one of the Total TTI, Total FT or VAT value fields, by preference.
For saving the accounting note related to the VAT, press the Temporary button, so that you can later edit the generated note, or press Validate, if you don't want to later edit this note. In the case of a partial payment for an invoice with several VAT rates, you must specify the VAT value for each rate. Example: Purchase invoice Partial payment Generating payable VAT afferent to the payment Values related to the payment are manually modified for each rate in particular. Entering sales invoices The entry mode of the sales invoice with VAT upon collection is the same as the one for the purchase invoice. Collection Generating payable VAT afferent to the collection Collecting the VAT at 90 days For viewing and collecting VAT for uncollected invoices that were issued for more than 90 days, you must use the Generate VAT notes option in the Processing menu.
Notes for VAT collection can be generated depending on certain criteria, using the Filter button, or can be generated for all invoices, using the 'Generate all VAT collection notes' button. The 'Generate VAT collection note' button creates the VAT collection note for the selected line. Reversing an invoice with VAT upon collection For invoices with 'VAT upon collection' you must check the 'Reversal/Storno' option. You must then choose the partner you wish to reverse for, using the button, next to the 'Mark' field. If the invoice is not totally reversed, the negative amount automatically retrieved by the application will be modified manually.
This procedure for reversing invoices with VAT upon collection is necessary for correctly generating notes in regard to VAT chargeability. Example: For a sales invoice with VAT upon collection, having a total of 124, base 100 and VAT 24, 50 lei will be reversed. The most voted software was Ciel Contabilitate and Trendix. An interesting fact that Saga C and WizCount are not included in the top 10, this software being recommended by many users of the accounting group [email protected]. In this a work, the author has proposed to elaborate an empiric research concerning the accounting software, currently on the Romanian market, and drawing up an efficient and practical model, proposed for the use of the interested Romanian professionals in this field.
